Kinnarps Next Office

A UNIQUE PROCESS TO HELP YOU plan the IDEAL WORKING ENVIRONMENT

How it works    Why we created Next Office

Experience tells us that every organisation works differently. So, expecting organisations to adapt to a ready-made office is unreasonable. For a new workplace to be successful, we need to create environments that are tailored to suit each business and the needs of its employees.

To achieve this, it is important that employees are engaged in the process. Our Next Office consultancy is a tried and tested method to capture their needs and aspirations, both individually and in teams.

We help you bring the mix of people, technology and the physical environment together, to achieve an efficient, exciting and productive new style of working.

INTRODUCING NEXT OFFICE

Our Next Office process uses workshops, apps and analysis to find the ideal workplace design for your organisation. Many of our clients discover a more agile working environment will better suit the needs of their teams (Watch this short video to see how Next Office could lead to a more agile workspace)

Kinnarps Next Office is about finding the right level of agility for your business; it’s not about imposing anything on you. To achieve this, we ensure that much of the process is employee-driven and spend time listening to senior teams and staff, actively engaging them and encouraging them to participate. This, combined with insight from rich data, proves a winning formula for bringing about progress and change within an organisation.
It could lead to very subtle changes, it might result in a major move to something new. Whatever the result, Next Office is a proven process to help you find your ideal working environment.

Kinnarps helped ease this process through their variety of services from Design to their Next Office consultation.”

HERE'S HOW IT WORKS – SIX STEPS TO A SUCCESSFUL OFFICE:

1.
VISION AND INSPIRATION

Why a new office? Do you have a common vision or desire for what you wish to accomplish?

The first step of the process is to create a common vision and common goals. You may already have these in place, or we can help you develop them. We place great importance on informing and inspiring your employees. In workshops, we will describe the coming process and the possibilities it offers, with the purpose of involving and engaging your employees. The more your employees know, the less they will fear the change, and the greater their enthusiasm for what's to come.

2.
SURVEY

How do you currently work? What is the work pattern of your office – which solutions work and what do employees feel is lacking? How would they like to work in future?

The point of Next Office is to avoid forcing individuals and organisations into a concept, or to imagine there's an off the shelf solution.
Instead, we take our starting point from the way you currently work and look to 'explore the possible' - how your employees would choose to work, given the freedom to consider something different. This is why we carefully analyse your organisation and the work methods of your individual employees. By interviewing project and management teams, holding workshops with your employees and asking them to complete a web survey, we gain important insights. We also map out how facilities are and will be used in your office and to what extent. The collated results give us a good idea of the settings you will need to serve your future development.

3.
RESULTS AND STRATEGY

How well do you know yourselves? Do you truly work the way you think you do?

This phase of the project is an exciting one as the resulting report often gives you new information and knowledge on which to base future decisions. This insight into how your business operates will help you develop your working methods. Together, we analyse the results and use what we have learned to create a common strategy that aligns with your goals and vision for your new office.

4.
Activity DESIGN SOLUTION

How will it look? How can your new office be designed to meet your specific needs?

Now - if you want to -  it's time to get practical. Having reviewed the results of the report and the insights gained, together we can develop the future strategy to be translated into a substantial design concept with tailored spaces. Next Office offers many inspiring settings that support different types of work. Should your survey show that you require more varied meeting and project spaces, or if your employees have highlighted that they value private work spaces, the floor plan will reflect this! You might ask us to develop a complete interior design solution based on the feedback of the report.

5.
IMPLEMENTATION

There are many areas to bring together before a final physical change can take shape.
The physical: will you introduce sit/stand desks?
The technical: will room booking systems be required?
The people: will behaviours in the new space have to be agreed?

If required, we can introduce a Change Management partner to help you make the journey to something quite different to what your used to. It may just require us to support you with the basics of Move Management.

Either way, it is vital that your employees are given a good introduction to the environment and any new working methods and behaviours. We deliver, install and assemble your new office quickly and efficiently. But that's just the beginning. We also train your employees to know and utilise the possibilities of their new office, and conduct follow-up meetings to ensure that all details are in place.

6.
FOLLOW-UP

How did things turn out? Is the office customised to how your staff work and can you easily make changes when needed? Do you feel your teams cooperate more and that they have a creative and productive atmosphere? Do you feel your working environment has improved and that it encourages employee satisfaction and health?

After six months in your new office, we will once more analyse and evaluate the results in relation to your vision and goals. We will also compare the new data with the data we have from your old office and see what has improved. This is an important phase of the process as it gives you the opportunity to document actual results while providing us with valuable feedback. We know from experience that initial satisfaction levels often dip before recovering and exceeding the previous standards. We want to be able to track this with you and make any necessary changes to ensure the workplace is evolving to meet the ever changing needs of your organisation.

Why we created
Kinnarps Next Office®

THERE ARE MANY QUERIES AND PRECONCIEVED NOTIONS ABOUT THE CONTEMPORARY OFFICE. WE WANT TO CHANGE THAT!

WHY ARE SO MANY PEOPLE AFRAID OF HAVING A NICE, NEW OFFICE?

Hearing that the office will be remodelled is not always considered good news. And of course, this is due to stories of failed attempts. About stressful, noisy environments that don't allow employees to work in peace and the uncertainty that there will be an available desk when they arrive to work.

In pace with technological development, our customers have been faced with many challenges. We recognised that there is a great need for innovative and functional solutions that support the new way of working. Which is why we created Kinnarps Next Office. A results-oriented method that has its starting point in your operation's needs and in which, your employees are key. Next Office is based on extensive research with customers, organisational developers and futures analysts. What did this reveal? That organisations and the people in them cannot be forced into ready-made concepts! For a new office to be successful, we need to create environments that people want and can be happy in.

THAT'S WHAT WE THINK AT KINNARPS

The optimal office – Next Office – centres on the interface between the organisational culture, the digital environment and the physical environment. It is vital to have an engaged management team and a declared ambition to involve employees in the process. Together, we will map the current and future digital environment to ensure that you have the necessary technology and that employees are prepared to use it. With our workplace analysis, we will discover your most important work patterns which will then serve as the basis for the physical environment. Because Next Office is always based on the individual organisation, the method works, regardless of organisation size and industry.
